1. Our Commitment
We only accept projects we are fully capable of delivering to a professional standard, on the agreed timeline. We do not make misleading commitments to win work. Every project brief is reviewed before acceptance, and we will decline work that falls outside our capabilities rather than overpromise.
In return, we ask clients to provide complete, accurate project requirements before work begins — as changes introduced mid-project affect timelines, resources, and eligibility for refund.
2. Full Refund — Before Work Begins
A full refund is available if you cancel your project before our development team has commenced any work.
To qualify for a full refund, you must notify us in writing at info@webdesignstudio.com before we have acknowledged commencement of your project. Once work begins — including planning, environment setup, design review, or any development activity — the no-refund policy applies.
3. No Refund — Once Work Has Commenced
No refund will be issued once our developer or team has started work on your project. This applies regardless of the reason for cancellation, including but not limited to:
- Client decides to cancel the project mid-way through development
- Client changes the project scope, requirements, or direction after work has begun
- Client requests features or deliverables not included in the original agreed brief
- Client is dissatisfied with progress caused by their own delayed feedback or approvals
- Client experiences a change in business circumstances
Work is considered to have commenced from the moment our team begins any activity related to your project, including but not limited to discovery, planning, server setup, design review, or coding.
4. WordPress & Server-Based Projects
No refunds are available for WordPress-based projects under any circumstances once development has begun.
WordPress projects require us to work directly on the client's hosting server. This involves installing software, configuring databases, building themes, installing plugins, and making changes to the live or staging environment. Once these actions are taken, the work cannot be reversed or transferred back, making a monetary refund inappropriate.
By engaging us for WordPress development, clients acknowledge and accept this condition.
5. Changes to Project Requirements
No refund will be issued if the client changes their project requirements, brief, or scope after work has commenced.
Mid-project changes consume additional development time, design resources, and server infrastructure. If you wish to expand or modify the agreed scope, an additional fee will be quoted and must be agreed in writing before the additional work proceeds. We will not absorb the cost of scope changes.
6. Third-Party Tools, Plugins & Licences
Clients are solely responsible for the cost of any paid third-party tools, plugins, themes, stock assets, API subscriptions, or software licences required for their project — whether recommended by us or requested by the client.
These costs are non-refundable by Web Design Studio and are separate from our service fees. We will advise on required third-party costs before purchase wherever possible.
7. Refund Timeline
Where a refund is approved, it will be processed within 14 working days from the date the refund is confirmed in writing by Web Design Studio.
Refunds are issued to the original payment method used at the time of purchase — PayPal, credit card, or bank transfer as applicable. We do not issue refunds via an alternative payment method.
8. Payment Processing Fees & Deductions
Web Design Studio will refund only the net amount actually received after processing fees were deducted at the time of payment.
We are not responsible for — and will not reimburse — any fees charged by PayPal, credit card companies, banks, currency conversion services, or other financial intermediaries. These fees are charged by third parties outside our control and remain the client's responsibility.
9. Project Credit Option
In eligible circumstances, and where both parties agree in writing, the value of an approved refund may instead be applied as a credit toward a future project with Web Design Studio.
Project credits have no cash value, are non-transferable, and must be used within 12 months of the date of issue. This option is offered at our discretion and does not override the general no-refund terms.
10. How to Request a Refund
All refund requests must be submitted in writing. To request a refund, email us at info@webdesignstudio.com with the subject line "Refund Request — [Your Project Name]" and include:
- Your full name and contact email
- Project name or invoice reference number
- Reason for the refund request
- Date of payment and payment method used
We will review your request and respond within 5 working days with a decision. Verbal requests or requests via chat will not be accepted.
